The Information Systems Agency of Armenia (ISAA) is supporting the creation of the Armenian e-society. About You
As an Office Coordinator, you will play a vital role in ensuring the smooth functioning of company offices by managing administrative operations, facilitating effective communication, supporting office expansion, and providing essential assistance to executives and teams.
Job Responsibilities
- Office Operations: Oversee and coordinate daily activities across our four offices to ensure efficiency and adherence to company policies.
- Logistics: Organization and meeting of office deliveries.
- Equipment Maintenance: Ensure proper functioning of office equipment by scheduling preventive maintenance, arranging repairs, and managing equipment inventories.
- Issue Resolution: Record and address technical and operational issues in collaboration with relevant departments.
- Internal and External Communication: Maintain polite and professional communication with internal and external stakeholders via email, phone, and in-person interactions.
- Meeting and Event Coordination: Organize and coordinate meetings and events, manage schedules, send calendar invitations, and prepare meeting rooms/venues.
- Work closely with the Procurement Officer to manage the purchasing of necessary office supplies and equipment according to pre-approved procurement procedures.
- Monitor and maintain inventory levels of office supplies across all locations.
- Manage new office setup processes in the event of staff increases, ensuring timely and efficient expansion across our three offices.
- Ensure that all office facilities are properly maintained and meet the needs of employees.
- Arrange relocation logistics for guest experts working with our team, including accommodation and transportation.
- Support in organizing travel accommodations for senior staff, including booking flights, hotels, and transportation.
- Support Procurement Officer in organizing office-related purchases, managing vendor communication, and ensuring timely delivery of supplies and services.
- Assist in onboarding new employees, organize office set-up and provide general support to the team to enhance productivity.
- Manage desk & chair set up process for new employees, ensuring all workstations are properly prepared before their first day.
- Carry out other tasks as assigned by supervisors, aligning with the overall objectives of the role.
Qualifications
- Bachelor's degree in Business Administration or a related field.
- Minimum of 1 years in office coordination or administration.
- Excellent communication skills in Armenian, Russian, and English.
- Proficiency in MS Office Suite.
- Strong organizational, multitasking, and problem-solving abilities; ability to work collaboratively in a team.
