About You

We are looking for a highly organized, responsible, and proactive Task & Workflow Management Coordinator who will be responsible for the effective administration and continuous improvement of the organization’s task and project management environment.
The primary purpose of this role is to ensure that projects, tasks, responsibilities, deadlines, priorities, and dependencies are properly structured, maintained, and monitored within the organization’s designated task/project management system.
The Coordinator will help ensure that the system serves as a reliable single source of truth for planning, tracking, accountability, and management reporting, regardless of the specific technology or platform used.
The role requires close collaboration with department heads, project managers, and cross-functional teams to establish consistent task-management practices, improve visibility of ongoing work, and strengthen accountability across the organization.

Job responsibilities

  • Administer and continuously improve the organization’s task and project management system, ensuring a clear, consistent, and efficient structure.
  • Configure and maintain workflows, project structures, statuses, fields, templates, dashboards, automations, and other system components as required.
  • Ensure that projects and tasks have clear descriptions, assigned owners, deadlines, priorities, dependencies, and appropriate statuses.
  • Work with department heads and project managers to design, structure, and standardize task-management workflows.
  • Monitor the timely updating of task and project statuses and ensure that information in the system remains accurate and up to date.
  • Identify overdue, outdated, incomplete, or unassigned tasks and follow up with responsible team members.
  • Track key project milestones, deadlines, dependencies, and deliverables, proactively identifying potential delays and bottlenecks.
  • Support teams in defining tasks, setting priorities, structuring workflows, and planning their work effectively.
  • Develop and maintain organization-wide task-management standards, rules, templates, and user guidelines.
  • Design and improve templates and automations for recurring workflows and processes.
  • Build and maintain dashboards that provide management with a clear and up-to-date overview of projects, tasks, deadlines, and overall progress.
  • Prepare regular management reports covering progress, overdue items, key risks, bottlenecks, and matters requiring management attention.
  • Collect necessary updates from teams and ensure the accuracy, completeness, and timeliness of information maintained in the system.
  • Identify inefficiencies and bottlenecks in existing workflows and propose practical improvements.
  • Support onboarding of employees and teams into the task-management system and provide internal guidance and training when required.
  • Manage user roles and access permissions in accordance with organizational policies.
  • Regularly assess the effectiveness of the task-management system and recommend improvements to both system configuration and underlying work processes.
  • Support the assessment, selection, implementation, or migration to alternative task/project management solutions when required.

Qualifications

  • Bachelor’s degree in Business Administration, Management, Information Technology, Project Management, or a related field.
  • At least 2 years of relevant professional experience in project coordination, project management, operations, workflow management, PMO, or a similar role.
  • Hands-on experience with one or more task/project management platforms such as ClickUp, Jira, Asana, Monday.com, Microsoft Planner, Trello, or similar solutions.
  • Good understanding of project, task, and workflow management principles.
  • Ability to coordinate and monitor multiple projects, tasks, and deadlines simultaneously.
  • Strong data organization, monitoring, and management reporting skills.
  • Good command of Excel and/or Google Sheets.
  • Excellent command of Armenian and working proficiency in English.
  • Strong written and verbal communication skills.
  • Strong organizational and analytical thinking.
  • High attention to detail and data accuracy.
  • Strong time-management and prioritization skills.
  • Proactive and solution-oriented approach.
  • Ability to identify risks, delays, dependencies, and potential issues at an early stage.
  • Ability to work effectively with different teams, functions, and levels of management.
  • Strong follow-up skills and persistence in ensuring that agreed actions and deadlines are met.
  • Ability to manage multiple priorities in a dynamic environment.
  • Ability to translate operational needs into structured workflows and processes.
  • Strong sense of ownership, accountability, and results orientation.
  • Advanced experience with task/project management platforms, including dashboards, automations, custom fields, templates, dependencies, workload management, and reporting.
  • Knowledge of Agile, Scrum, Kanban, or other project management methodologies.
  • Experience in Project Management, PMO, Operations, or Business Process Management.
  • Experience documenting, standardizing, and optimizing business processes.
  • Experience implementing or migrating task/project management systems would be an advantage.
  • PMP, CAPM, Scrum, or other relevant professional certification would be considered an advantage.
